Long Term Car and Van Rental - Terms and Conditions

Identification required

In order for Thrifty to process an application for a FlexiFleet vehicle the following identification is required:-

  • Copy of current driving license (both sides of card) for each person who will drive the Thrifty vehicle

  • 2 documents carrying current home address of the hirer and dated within the last 8 weeks.
    o At least one of these must be the bank or card statement for the card that will be used to hire the vehicle.
    o The other must be a formal document (e.g. utility bill, council tax bill, HMRC letter)
    o Copies of mobile phone statements are not accepted

  • If the current home address has changed within the last 12 months, previous home address details are required

  • Additional ID required for hires of Prestige, Luxury and Elite vehicles:-
    o Proof of employment, or if self-employed, company ownership
    o Evidence to confirm the ability to cover future monthly rental payments
    o (Please contact Thrifty to discuss the ID required)

In all cases, Thrifty will carry out a search with Experian for the purposes of verifying hirer's identity (and identity of any other drivers). To do so Experian may check the details supplied by the hirer against any particulars on any database (public or otherwise) to which they have access. They may also use these details in the future to assist other companies for verification purposes. A record of the search will be retained. By agreeing to the Thrifty terms & conditions, the hirer is consenting to this search.

Where the application is in the name of a company, company ID in the format outlined above is required. A credit check will be undertaken by Thrifty.

The hirer will be required to present the original ID on collection of the vehicle.

Important notice: Vehicle Repairs and Servicing

Please note that unauthorised mechanical and cosmetic work or repairs carried out on our vehicle without the consent of Thrifty will result in rental termination and customer will be responsible for any associated charges forthcoming. Vehicle Servicing: Customers are responsible for ensuring that vehicle attends scheduled servicing as required by the vehicle manufacturer and will be arranged by Thrifty. This may include running-in servicing on high performance cars. In all cases customer is responsible for communicating vehicle mileage *see terms relating to customer responsibilities regarding vehicle mileages.

An electronic notification will display to advise a service is due. It is your responsibility to contact Thrifty to advise the vehicle requires servicing.

Costs relating to scheduled servicing only are included within rental rates. Non-scheduled servicing may be charged. Failure to comply with scheduled vehicle servicing will result in charges which could be equivalent to the full value of the vehicle.

Payment Terms

Payment is required by credit card (Visa, MasterCard) or debit card

  • Cash, cheque and pre-paid credit cards are not accepted
  • Payment must be made on the due date. If funds are not available when payment is requested an email will be sent advising of this. If payment is not made on the date payment is due, a late payment charge of £25 + VAT per day, for each day that payment is not made, will be added to the amount due
  • Failure to make payment within 3 days of the payment being due may lead to Thrifty terminating the hire and requesting the immediate return of the vehicle.
  • Persistent failure to make payment on the date due (i.e. for more than 1 month) may lead to Thrifty terminating the hire and requesting the immediate return of the vehicle. It may also restrict the make and model of vehicle that is available to be hired.
  • In the event that the vehicle is returned earlier than the date originally agreed, no refund will be made.


Vehicles must be covered by a fully comprehensive insurance policy at all times during the hire and insurance details must be notified and accepted by Thrifty Car & Van Rental prior to hire.

  • The excess on the insurance policy must not exceed £1000
  • Any additional drivers covered on the insurance policy must be notified to Thrifty before the start of the hire and copied of their licences provided to Thrifty so that standard rental checks can be carried out
  • The insurer must be notified of Thrifty's requirement, as the registered keeper of the vehicle, to validate the policy details with them. The hirer is required to provide the required consents to the insurer for Thrifty to obtain this information
  • The hirer may not change insurers, or change any terms of the insurance, including excess level or additional driver cover without notifying Thrifty


A deposit of £750 or a sum equivalent to one month's rental charge including VAT (whichever is the greater amount) will be taken a maximum of 7 days in advance of the pickup date and refunded at the end of the rental when vehicle is returned providing the vehicle is returned full of fuel and undamaged and there are no outstanding amounts against the rental.

  • The deposit and first month's rental charges must be made by credit or debit card.
  • Should the excess on the insurance policy provided by the customer exceed the deposit Thrifty reserves the right to request an increase on the deposit to match the customer's liability on the policy.
  • If the hire vehicle is from the Prestige, Luxury or Elite range payment by debit card is accepted but the deposit payable at the start of the hire will be the equivalent of 2 months rental + VAT. If paying by credit card, deposit will be as standard (i.e. equivalent to 1 month's rental + VAT)
  • In the event that the hirer does not collect the vehicle within 24 hours of the agreed time the deposit will be returned subject to deduction of one month's rental charges

Fines & Penalty Payments

If Thrifty is notified of any fine or penalty relating to the use of the vehicle during the period of hire, details of the hirer will be provided to the enforcing authority for the purpose of transferring the liability for the fine or penalty. An administration fee (currently £42) will be charged to the credit or debit card held. In the event that funds are not available for this charge, it will be added to the rental contract and taken by agreed payment method along with the rental charge. By agreeing these terms & conditions the hirer is agreeing to this charge being made by Thrifty.

Overseas use

Overseas travel is subject to customer providing Thrifty a copy of their existing insurance policy which confirms proof of cover for our vehicle to be taken only into the countries listed below. Proof of European roadside assistance to cover repatriation of our vehicle back to the UK must also be provided.

In all instances where overseas insurance and vehicle repatriation cover has been authorised by Thrifty, a 'Vehicle on hire' certificate (VE103) will be provided to the customer. A VE103 is an authenticated proof of permission to take the vehicle into Europe and is a legal requirement. A £50 administration fee will be charged for all overseas rentals.

In the event that Thrifty has not been notified of overseas travel the hirer will be responsible for all costs associated with any breakdown, accident or other incident outside the UK including repatriation of the Thrifty vehicle.


Andorra, Austria, Belgium, Bulgaria, Czech Republic, Denmark, Finland, France, Germany, Gibraltar, Hungary, Italy, Liechtenstein, Luxembourg, Monaco, Netherlands, Norway, Poland, Portugal, Republic of Ireland, Romania, San Marino, Slovakia, Slovenia, Spain (excluding Ceuta and Melilla), Sweden and Switzerland


Monthly mileage may not exceed the amount agreed in the application. In the event that excess mileage is covered, the charge indicated in the application will apply.

  • The hirer will be contacted monthly to provide an accurate, current mileage for the vehicle to Thrifty and must do so on request. Failure to provide mileage updates may lead to the termination of the hire agreement.
  • Thrifty reserves the right to terminate a hire if the monthly mileage covered is considerably in excess of the agreement made.

    The mileage allowance stated within this application supersedes the mileage allowance stated within the rental agreement.

Maintenance and breakdown

Rates include routine maintenance and roadside assistance cover. Items excluded (and therefore will be charged to the hirer) include but are not limited to:-

  • Windscreen chip or windscreen damage requiring replacement
  • Any tyre damage that includes punctures or wear that is not considered standard
  • Damage induced by using the wrong fuel
  • Damage induced by lack of oil, water, Adblue or other consumable
  • Breakdown call-out fees for customer-induced faults (e.g. flat battery, keys locked in vehicle)
  • Missed services, including M Services and costs associated with this.

Fuel Policy

All vehicles are supplied with a full tank of fuel at the start of the hire. The hirer may return the vehicle full at the end of the rental, or return the vehicle part full and be charged for missing fuel at the end of the rental at the locally determined price.

Cancellation & no show Policy

If the reservation is cancelled less than 7 days before the rental start date the hirer will be liable for one month's hire charges.

If the vehicle is not collected within 24 hours of the agreed start time ('no show') the hirer will be liable for one month's hire charges.

Rental period & Termination

The hire period is agreed at the start of the rental. In the event that the hire terminates before the anticipated end date, an adjustment to the rental rate (reverting to the rate applicable to the length of hire) will be made prior to any refund of deposit. If the hire terminates during the first month of hire the full 1 month rental will be held by Thrifty.

Thrifty will contact the hirer shortly before the end of the hire period to discuss options for a further hire and this may be at a different rental rate.

Thrifty reserves the right to terminate the rental if monthly rental payments are not made on the due date or any other terms of rental are breached.

In the event that the rental is terminated by Thrifty, the vehicle must be returned to a Thrifty depot immediately. The hirer will remain liable for rental charges (calculated on a daily basis) up to and including the day the vehicle is returned to a Thrifty depot.

Rental period

You will have the vehicle for the rental period shown in your Reservation Confirmation. If you do not bring the vehicle back on time, or if you do not contact us and get our agreement to an extension of your rental, you are breaking the conditions of this agreement. We can charge you for every day or part-day you have the vehicle after you should have returned it to us. Until we get the vehicle back we will charge you the daily rate specified on the rental agreement when you collect the vehicle. Thrifty reserves the right to changeover any vehicle with reasonable notice of doing so (in most cases this would be 5 days)

Vehicle changeovers

Thrifty will contact the hirer, giving at least 5 days' notice, when the vehicle has been sold and is due to be returned. This will not usually be until the hirer has had the vehicle for at least 3 months. The hirer will be required to either complete an exchange or return the vehicle within 5 days of the notification by Thrifty. Failure to complete the exchange within these timescales will result in late return fees charged at an additional £25 per day.

Rental Agreement

You will be asked to sign a Rental Agreement when you collect your hire vehicle.

Complaint Procedure

Complaints should be made in writing to:-

Receipt of a complaint will be acknowledged within 1 working day. The Complaint will then be investigated by the Customer Service team and where possible a decision reached. Further information may be required to enable the decision making process. A decision will be communicated to you within 5 working days

By accepting these Terms & Conditions you consent to Thrifty applying charges to your credit or debit card account. If you do not adhere to the Terms & Conditions outlined above the Cancellation Policy will be enforced.
